How do I order a notarized copy of my transcript or diploma?
The Office of the Registrar at your learning institution issues official copies of grade transcripts and diplomas. In order to get these documents apostilled for use in other countries, you need to get the registrar to sign a letter stating that the document is an official copy of your records. The registrar must sign this letter in front of a notary public. Some colleges and universities have a notary in the Office of the Registrar, but they often do not.
Call the Registrar's Office at your college and ask if they have a notary available to notarize this letter. If they don't, you can arrange to have a mobile notary travel to the Office of the Registrar to notarize the signature.
For more information about notarizing a diploma or transcript, call (877) 710-9493.
If the office has a notary available, skip to step 3. If you need to arrange for a mobile notary, proceed to step 2.

How do I get a mobile notary to visit the Office of the Registrar?
If the Office of the Registrar doesn't have a notary available, you can arrange to have a notary travel to the school. If your institution is in or near San Francisco, we can perform this step for you. Some of the learning institutions we visit frequently include USF, UCSF, Academy of Art University, Art Institute of California, City College, UC Berkeley, Cal State East Bay, Dominican University, and Stanford.
If you graduated from a school in another part of California, you will need to find a local mobile notary who can notarize your transcript or diploma and then send it to us.
For more information about this step or to request a mobile notary, call (877) 710-9493.
If we notarize the document, we will simply bring it with us when we leave. Skip to step 4.
If you're having the document notarized by someone else, proceed to step 3.

How does the apostille process work for a transcript or diploma?
We will take your diploma or transcript and the accompanying signed, notarized letter from the registrar to Sacramento to be apostilled. The California Secretary of State's office will check the wording on the notarial certificate and the name and signature of the notary public, and then issue an apostille. For countries that have signed the Hague Convention for Apostilles, no further legalization is needed. For countries that have not signed the Hague Convention, a consular visit will be necessary.
For more information about California apostilles or Hague member countries, call (877) 710-9493.
If the diploma/transcript is being authenticated for a country that that has not signed the Hague Convention, proceed to step 5.
If the diploma/transcript is being authenticated for one of the countries that has signed the Hague Convention, skip to step 6.

What if it's for a non-Hague country?
Countries that have not signed the Hague Convention for Apostilles require additional processing for diploma or transcript legalization. Typically, this is done at the country's consular office in San Francisco. After we get the diploma or transcript apostilled by the California Secretary of State, we will bring it to the relevant consulate for legalization.
